This Privacy Policy describes how we collect, use, share and protect personal information through pinebendlabs.com (the “site”), including its contact form. It does not apply to personal information we process on behalf of an organization under a services agreement; that processing is governed by the agreement.
Who we are

To reach us about this policy or your information, use the contact form on our home page or write to us at the address above.
Information we collect
We collect the information you choose to give us, along with a limited amount of technical information that is generated automatically.
Information you give us through the contact form
- Name
- Work email
- Company
- Role or title
- Phone number
- Company size
- Industry
- Areas of interest
- Your message
Only name, work email, company and message are required. Your message contains whatever you choose to tell us; if it includes information about someone else, such as a colleague, please make sure you are allowed to share it.
Information collected automatically when you submit the form
- Approximate location (country and city), which our hosting provider derives from your IP address
- A one-way hash of your IP address, used to limit repeated submissions and prevent abuse — the address itself isn’t stored with your submission
- Your browser’s user agent, which describes your browser and operating system
- The page and form you used to contact us, the referring website and any campaign tags in the link (UTM parameters)
- The date and time of your submission
When you browse the site, our hosting provider automatically processes standard technical information — such as your IP address, browser type and the pages you request — to deliver the site, keep it secure and diagnose problems.
Sensitive information
We don’t ask for sensitive personal information — such as Social Security or other government identification numbers, financial account details or health information — and we ask that you not include it in your message.
How we use your information
We use personal information to:
- Respond to your inquiries and questions.
- Arrange conversations and meetings with you.
- Understand your needs and prepare proposals.
- Manage our business relationship with you and your organization, including our design-partner program.
- Keep the site and the contact form secure, and prevent spam, fraud and abuse.
- Comply with our legal obligations and protect our rights.
Occasional updates — always optional
We may occasionally send you updates about Pine Bend Labs, such as news about our work or invitations to events. You can opt out at any time using the unsubscribe link included in every update, or by letting us know through the contact form. Opting out won’t affect how we handle your inquiry.
We may also use information in aggregated or de-identified form — which can no longer reasonably be linked to you — to understand how the site is used and to improve it.
Cookies and similar technologies
We don’t use advertising or tracking cookies. We don’t track you across other websites, and we don’t let third parties do so through our site.
- Security
- Our hosting provider may use strictly necessary cookies or similar technologies to protect the site and the contact form from bots and abuse — for example, an automated security check.
- Analytics
- We may use privacy-friendly analytics that don’t use cookies or identify you, to understand in aggregate how the site is used — for example, which pages are visited and from which countries.
- Your controls
- Most browsers let you block or delete cookies in their settings. Because we don’t sell personal information, share it for cross-context behavioral advertising or track visitors across other websites, our practices are the same whether or not your browser sends a privacy signal such as Global Privacy Control or Do Not Track.
How long we keep information
We keep personal information only for as long as we need it for the purposes described in this policy.
If no business relationship develops, we delete or de-identify your inquiry within 24 months of our last contact with you, unless we need to keep it longer to comply with the law. If a relationship develops, we keep relevant information for as long as the relationship lasts and afterward for as long as required or permitted by law — for example, for tax, accounting or legal purposes.
How we protect your information
We use reasonable administrative, technical and physical safeguards designed to protect personal information against loss, misuse and unauthorized access, disclosure, alteration or destruction. They include:
- Encryption in transit (HTTPS) across the site, including every form submission.
- Access to submissions limited to the people who need it to respond to you.
- IP addresses stored with form submissions only as a one-way hash.
- Spam and abuse protection on the contact form.
- Infrastructure providers that maintain their own security programs.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you as required by applicable law.
Your choices and rights
Wherever you live, you can:
-
Access
Ask what personal information we hold about you and receive a copy of it.
-
Correction
Ask us to correct information that is inaccurate or incomplete.
-
Deletion
Ask us to delete your information, unless we need to keep it — for example, to comply with the law.
-
Opting out
Stop receiving updates from us at any time, without affecting how we handle your inquiry.
Additional rights in certain US states
Residents of certain US states may have additional rights under state privacy laws — for example, to know more about how we collect, use and disclose personal information, to receive it in a portable format, to appeal our decision about a request and to use an authorized agent. We will honor these rights as required by applicable law, and we will not discriminate against you for exercising any of your privacy rights.
Individuals in Mexico
If you are in Mexico, you may exercise your ARCO rights — access, rectification, cancellation and opposition — under Mexico’s Federal Law on the Protection of Personal Data Held by Private Parties, and revoke your consent, through the same channels described below.
